How to politely ask if your contract will be renewed (with email examples)

Not sure whether your contract is being extended? Here is how to ask your client or manager politely, when to raise it, and four short email examples you can copy.

If your contract is coming to an end and nobody has mentioned what happens next, it is completely reasonable to ask. Most people put it off because they worry it will sound pushy, or they do not want to seem anxious about the work. But leaving it unspoken helps no one. Your client or manager is often just busy, and a clear, friendly question makes it easy for them to give you a straight answer.

The trick is to ask early, keep it warm, and make the decision easy for the other side. Here is how to do that, plus four short emails you can adapt.

When to ask

Timing matters more than wording. Ask too late and you are scrambling to line up other work if the answer is no. Ask far enough ahead and you give both sides room to plan.

A rough guide:

Contract length When to raise renewal
3 months or less 3 to 4 weeks before it ends
6 months 4 to 6 weeks before it ends
12 months or a rolling retainer 6 to 8 weeks before it ends

The earlier date is not about pressure. It signals that you are organised and thinking ahead, which is exactly the impression you want to leave whether or not this particular contract continues.

How to phrase it

Three things make the ask land well:

  1. Lead with the work, not your worry. Open by referencing something you are doing or have delivered, so the email reads as a natural continuation rather than a nervous check-in.
  2. State the end date plainly. Naming the date shows you are on top of the details and gives them a concrete thing to respond to.
  3. Make saying yes easy. Offer to continue on the same terms, or to jump on a quick call. The less friction, the faster the reply.

Now the emails. Each one is short on purpose. A long message invites a slow answer.

Example 1 - The early, low-key check-in

Use this when there is still plenty of runway and you just want to open the conversation.

Subject: Quick note on the [project or role] beyond [end date]

Hi [First Name],

I have really enjoyed working on [project or area] with you. I know my current agreement runs until [end date], so I wanted to check in early on what happens after that.

I would love to keep going if that works on your side. Happy to continue on the same terms, or to talk through anything that might change.

No rush at all - just wanted to raise it while there is time to plan.

[Your name]

Why this works: It is relaxed and forward looking. Raising it "while there is time to plan" removes any sense that you are worried, and frames you as the organised one.

Example 2 - The direct ask closer to the end

When the end date is near and you have not heard anything, be clearer.

Subject: Renewal for [role or project] - [end date]

Hi [First Name],

My agreement with you ends on [end date], which is about [X] weeks away. I wanted to ask directly whether you are planning to extend it.

I am keen to continue and can carry on exactly as we are now. If the plan is changing, that is completely fine - it just helps me to know where things stand so I can plan accordingly.

Could you let me know either way in the next week or so?

[Your name]

Why this works: "Either way" gives them permission to say no without it being awkward, which paradoxically makes a yes more likely. Asking for a reply "in the next week" gives the request a gentle deadline.

Example 3 - Asking specifically about extending the term

Use this when you expect the answer is yes and you simply need it confirmed in writing.

Subject: Confirming the extension - [your name]

Hi [First Name],

Following our recent chats, I wanted to confirm the plan for extending my contract past [end date].

If it is straightforward, I am happy to continue for another [period] on the current terms. Just let me know and I will sort out anything that needs updating on my end.

Thanks for the continued work - I am glad it is going well.

[Your name]

Why this works: It treats the renewal as expected rather than uncertain, which nudges a busy client to simply confirm rather than reopen the whole question. It also creates a written record of what was agreed.

Example 4 - After good feedback or a review

A positive moment is the best time to ask. Use it.

Subject: Great to hear - a thought on carrying on

Hi [First Name],

Thanks for the kind words on [piece of work]. It means a lot, and it is exactly the kind of work I would like to keep doing with you.

With that in mind, my current agreement wraps up on [end date]. Would you be open to extending it? I would happily continue on the same basis.

[Your name]

Why this works: It ties the ask to fresh evidence of your value. When someone has just praised your work, agreeing to more of it is the easy, natural next step.

If the answer is not clear

Sometimes you get a vague reply, or none at all. Give it a few days, then follow up once, briefly:

Hi [First Name], just circling back on my note about continuing past [end date]. Any steer on the plan would really help me. Thanks.

If it still goes quiet, treat that as useful information and start lining up other options. Silence close to an end date is rarely a good sign, and it is better to know now than to be surprised on the last day.

The other side of the same problem
