A contract renewal letter is more formal than a quick email, and that formality does a job. It signals that the relationship matters, it puts the terms on record, and it gives the client something clean to take to whoever signs off the budget.

You do not need legal language or anything stiff. You need a clear, warm letter that confirms the value, states the terms, and makes saying yes easy.

What a renewal letter should do

A good renewal letter covers four things, in this order:

  1. Thank the client and remind them of the value. Start with what the last term delivered. This is the most important part and the one people skip.
  2. State the renewal clearly. What you are proposing to continue, for how long, and from when.
  3. Be specific about terms. The dates, the fee, and anything that is changing. If the rate is going up, say so plainly with a brief reason.
  4. Make the next step obvious. Tell them exactly what to do to confirm.

Keep it to one page. A renewal letter that rambles undoes the confidence the format is meant to create.

Tone matters more than length

The client is deciding whether the next term is worth it. A letter that leads with money feels transactional. A letter that leads with results feels like a partnership continuing.

Warm, direct, specific. Write like a person, not a contracts department.

Copy this and adapt it to your situation:

Dear [Client name],

Thank you for a great [past term, e.g. "past 12 months"] working together. Over that time we [one or two concrete results - e.g. "delivered 14 campaigns and grew qualified leads by 30%"], and it has been a genuine pleasure supporting [their company].

I would love to continue. I am writing to propose renewing our agreement for a further [term, e.g. "12 months"], starting [start date].

The terms would be:

  • Scope: [brief summary of what is covered]
  • Term: [start date] to [end date]
  • Fee: [amount] per [month/quarter/year]
  • [Any change, e.g. "This reflects a 5% increase from the previous term, our first in two years."]

Everything else stays as it is. If you are happy to proceed, just reply to confirm and I will send the updated agreement to sign.
