When to send which

Count from the date that decides the contract. If it renews by itself, that is the notice deadline - the last day the contract lets either side give notice - which can be months before the end date. If it simply ends, it is the end date. Every timing below is counted from that date.

The early check-in

About 90 days before the date that decides the contract, while there is time for a proper conversation.

Hi [First name],

I have really enjoyed working on [project or area] with you. Our current agreement runs until [end date], so I wanted to check in early on what happens after that.

I would love to keep going if that works on your side. Happy to continue on the same terms, or to talk through anything that might change.

No rush at all - I just wanted to raise it while there is time to plan.

Proposing the renewal

About 60 days before, once you know you want to continue.

Subject: Renewing our agreement from [renewal date]

Hi [First name],

Your current agreement with us runs until [end date]. I am writing now so we have plenty of time to talk through the renewal before things get tight.

In short: I would like to continue working together and lock in the next [period]. Happy to keep the same terms or to discuss any changes if your needs have shifted.

Do you have 20 minutes this week or next to talk it through?

Renewing with a price increase

With the proposal, at least 60 days before, so the new rate is never a surprise.

Subject: Renewal from [renewal date], and one change to the rate

Hi [First name],

Your agreement with us runs until [end date], and I would like to continue working together for another [period].

One change to flag up front: from [date] the rate for this work moves to [new rate]. This is the first adjustment since [original date], and it reflects [reason - scope, demand, rising costs]. The work and the level of service stay exactly the same.

I would rather raise this early and clearly than surprise you on an invoice. Happy to jump on a call to walk through it.

The follow-up

About 30 days before, if the first email got no answer.

Subject: Re: Renewing our agreement from [renewal date]

Hi [First name],

Just following up on my email from a couple of weeks ago about renewing our agreement, which ends on [end date].

I want to make sure we have time to sort this properly rather than leaving it to the last minute. If you are happy to continue, I can prepare the renewal paperwork today. If anything needs to change, let us talk.

Either way, it would help to know where we stand.

The direct question

A few weeks before, when you need a yes or no to plan your time.

Subject: Are we extending after [end date]?

Hi [First name],

My agreement with you ends on [end date], which is about [X] weeks away. I wanted to ask directly whether you are planning to extend it.

I am keen to continue and can carry on exactly as we are now. If the plan is changing, that is completely fine - it just helps me to know where things stand so I can plan accordingly.

Could you let me know either way in the next week or so?

After good feedback

Any time in the last three months, right after a client says the work went well.

Subject: Thank you - and what comes after [end date]

Hi [First name],

Thanks for the kind words on [piece of work]. It means a lot, and it is exactly the kind of work I would like to keep doing with you.

With that in mind, my current agreement wraps up on [end date]. Would you be open to extending it? I would happily continue on the same basis.

Confirming the renewal

The same day you agree it on a call, before anyone forgets the details.

Subject: Confirming our renewal from [start date]

Hi [First name],

Great speaking earlier. As discussed, I will prepare the renewal agreement for the period [start date] to [end date] at [rate and terms]. I will send it over by [date] for your review.

If anything needs to change before I put it together, just let me know.

Looking forward to continuing.

The final reminder

About 7 days before, if nothing is agreed yet.

Subject: Our agreement ends on [end date]

Hi [First name],

Quick one: our current agreement ends on [end date], which is [X] days away. After that there is no contract in place, which I would rather avoid for both of us.

If you are happy to continue, reply yes and I will have the renewal over to you today. If you would like to change anything or step back, that is completely fine - just let me know so we can wrap up cleanly.

Giving notice that you will not renew

Before the notice deadline - the last day the contract lets you give notice - and in the form the contract asks for.

Subject: Notice of non-renewal: [contract name]

Hi [First name],

Under [clause number] of our agreement dated [contract date], I am giving notice that I will not renew it when the current term ends on [end date].

I will complete everything due before then and hand over [files, access, work in progress] by [date]. Thank you for the work together - I would be glad to help again in the future.

Please confirm you have received this notice.

Cancelling a contract before it renews automatically

As the customer, before the notice deadline of a contract or subscription that renews by itself. After that date it has already renewed.

Subject: Cancellation before renewal: [account or contract number]

Hello,

I am writing to cancel [service] for [company name], account or contract number [number], with effect from the end of the current term on [end date].

This notice is given on [today's date], within the [X]-day notice period in [clause or terms reference], so the contract should not renew.

Please confirm the cancellation in writing and that no further charges will be made after [end date].
