Contract renewals slip through the cracks when you're busy. Here's a simple system to make sure you're always prepared — whether you're a freelancer or running an agency.
It’s entirely avoidable. And it still happens to almost everyone at some point.
The contract expires. The client moves on. You find out weeks later when the invoices stop.
Here’s how to make sure it never happens to you.
The most common reason is no system.
Most people track contracts in a spreadsheet, a Notion page, or nowhere at all. These tools don’t send reminders. They don’t update automatically. They rely entirely on you remembering to check them, and when you’re heads-down delivering work, that check never happens.
The second reason is bad timing. Even when you do remember, you usually remember too late. Two weeks before a contract expires isn’t enough time to renegotiate, raise rates, or have a proper conversation about the next phase.
A missed renewal isn’t just inconvenient. It’s money.
If a contract auto-renews at last year’s rates, you’ve lost your chance to increase prices. If it expires unnoticed, the client might assume the engagement is over and start looking elsewhere without ever telling you.
On a £2,000/year retainer, that’s real money. On a £10,000/year contract, it’s a serious problem.
You need three things.
One place for all your contracts. Not spread across emails, folders, and spreadsheets. One view, everything visible.
Alerts well in advance. 90 days before a contract expires, you should know about it. That gives you time to prepare, have the conversation on your terms, and raise rates if needed. 30 days is still okay. 7 days is not.
Status visibility. At any point, you should be able to see what’s active, what’s expiring, and what’s already lapsed. No digging. No manual checking.
Calendar reminders get dismissed. Lists go stale. The monthly review gets skipped when things get busy.
The reliable version is a tool that handles the reminders automatically. Expiro does this. You add your contracts once, it sends automatic email alerts at 90, 60, 30 and 7 days before each one expires. Dashboard shows everything. Slack, Teams and Discord alerts too if your team uses them.

Setup takes 10 minutes. After that, you don’t need to think about it.
